We collect information you provide directly to us, such as when you create an account, use our Service, or contact us for support. This may include your name, email address, phone number, and practice information.
2. Protected Health Information
When you use our Service to store client information, you may provide Protected Health Information (PHI). We handle all PHI in accordance with HIPAA requirements and our Business Associate Agreement.
3. How We Use Your Information
We use the information we collect to provide, maintain, and improve our Service, to process transactions, to send you technical notices and support messages, and to respond to your requests.
4. Information Sharing
We do not sell, trade, or rent your personal information to third parties. We may share information with service providers who assist us in operating our Service, subject to confidentiality agreements.
5. SMS and Text Messaging
Ezi provides text messaging (SMS) features that practices use to communicate with the parents and legal guardians of their clients and with their own staff. Ezi also sends SMS to account holders for operational and security notices about the Service.
Consent. We send text messages only to individuals who have given prior express consent — collected by the practice during client intake or staff onboarding, or by Ezi when you provide a mobile number for your account. Consent to receive text messages is never a condition of purchase or of receiving care.
Message content and frequency. Messages may include appointment and schedule information, care coordination between a practice's clinical team and a guardian, operational notices such as clinic closures and early pickup, staff coverage alerts, and account or security notifications. Message frequency varies. Message and data rates may apply.
Opting out and getting help. Reply STOP, STOPALL, UNSUBSCRIBE, CANCEL, END, QUIT or OPTOUT to any message to stop receiving further messages. Reply START, UNSTOP, YES or OPTIN to resume. Reply HELP or INFO for assistance, or contact the practice that messaged you. Carriers are not liable for delayed or undelivered messages.
We do not share mobile data for marketing. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third parties. Mobile numbers and message content are disclosed only to the carriers and communications providers required to deliver a message, and to service providers bound by confidentiality obligations.
Ezi's role. When a practice uses Ezi to message its own clients or staff, that practice is responsible for obtaining consent, and Ezi acts as its service provider — processing the messages on the practice's behalf and under its instructions. Message content stored in the Service may include Protected Health Information and is handled as described in Section 2 and under our Business Associate Agreement.
6. Data Security
We implement appropriate technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. This includes encryption, access controls, and regular security audits.
7. Data Retention
We retain your information for as long as your account is active or as needed to provide you services. We will retain and use your information as necessary to comply with legal obligations and resolve disputes.
8. Your Rights
You have the right to access, correct, or delete your personal information. You may also request a copy of your data or object to certain processing activities. Contact us to exercise these rights.
